VDOMA

Partnership

VDOMA is a brand marketplace for Ukrainian fashion. We bring Ukrainian brands and boutiques together in a single storefront and bring them customers from Ukraine, the European Union and other countries. The stock stays in your warehouse or store and is dispatched to the customer directly by you.

This page is for brands, designers and multi-brand stores that want to sell more and reach customers abroad without an international store, logistics and advertising budget of their own.

WHAT YOU GET

• A storefront and sales with no outlay to start. We take on the site, the product pages, the checkout, the taking of payment and the communication with the customer.

• Customers abroad. The site runs in four languages, delivery goes to EU countries and beyond, and prices and taxes are calculated on the marketplace's side.

• Promotion at our expense. Advertising on social media and in search, work with the media and with creators, edits and newsletters to our database, participation in seasonal campaigns — with no invoice to the brand.

• Customer support in your place. Pre-purchase questions, order statuses, returns and exchanges all go through our support team. All that is left for you is to pack and send the order.

• Reporting. A regular summary of orders, returns and payouts, plus data on which styles, sizes and colours are viewed and bought most often.

• Your brand stays your brand. We show your name, logo and description; we do not re-label your tags and we do not sell your products under a name of our own.

WAYS OF WORKING TOGETHER

Under both arrangements the stock stays with you and you dispatch the order, while the storefront, advertising, payment, support and returns are on us. The only difference is how your income is calculated. In both cases the retail price in our storefront is the same as the price in your own store: the customer does not pay more for having come through us.

• Commission on sales. You work with your own retail price, and we withhold an agreed percentage on every unit sold and transfer the remainder to you. Your income rises and falls with the price: if a product is sold at a discount, the commission is calculated on the amount actually paid. Transparent and familiar if you already sell through other marketplaces.

• Fixed transfer price. You name the price at which you hand the product over — and you receive exactly that on every sale, regardless of what we eventually sold it for. The retail price in the storefront stays the same as yours, and the difference between it and your price is our income, out of which we pay for advertising, card acquiring, support and returns. The arrangement is close to dropshipping: the warehouse, the production and the dispatch are yours; the sales and everything else are ours.

A fixed price is more convenient if you want to know exactly what you earn on each sale and not depend on our promotions: we run discounts and sales at our own expense, and they do not affect your amount. Commission is more convenient if you prefer a single percentage across the whole range and manage the price yourself.

The commission percentage or the transfer price is agreed by category and set out in the contract, and is revised by agreement — for example, when your production costs change or a new collection comes out. We set no minimum turnover requirements: you can start with a small capsule.

WHO WE TAKE ON

We select partners by hand rather than signing up everyone, because the customer's trust in the whole storefront depends on it. Here is what we look at:

• The brand is registered in Ukraine and manufactures its products in Ukraine, or is an authorised seller of the labels it carries.

• There is proof that the business is legitimate: registration documents and, for multi-brand stores, documents for the products and the right to sell them.

• The products are in stock, not made to order only, and you can pack and hand over a parcel within the time we agree.

• Good photographs: at least 3–5 shots per style, on a plain background, in high resolution, with no other companies' logos or watermarks.

• Up-to-date stock levels, prices and descriptions, which you are prepared to keep current.

• A single retail price: the price in our storefront is no higher than in your own store and on other marketplaces.

• A readiness to answer our queries during working hours and to take part in agreed promotions and sales.

HOW WE START WORKING TOGETHER

It usually takes one to three weeks from the first email to the first sales — fastest of all when the brand already has photographs and descriptions ready.

1. Application. You write to us at partnerships@vdoma.store and tell us briefly about the brand: what you make, where you sell at the moment, what volume.

2. Getting to know you. We look at the range, the prices and the photographs, arrange a call if needed and propose a suitable way of working together.

3. Contract. We set down the model, the commission or the wholesale prices, the time allowed for packing an order, and the payout and returns procedure.

4. Materials. You send us the catalogue, photographs, descriptions, size chart and stock levels — the formats are listed below.

5. Upload. We prepare the product pages, translate the descriptions, retouch the photographs and bring them into line with the look of the storefront, and agree the result with you.

6. Launch. The products appear in the catalogue, and we include them in edits, newsletters and advertising campaigns.

7. Orders. You receive a notification of the order, pack it and hand it over to the carrier following our instructions and with our documents.

8. Payouts and analytics. We transfer the money on the agreed schedule and send you a report on sales, returns and customer behaviour.

WHAT TO SEND US TO GET STARTED

• A product catalogue in XML, Excel or a Google Sheet: item code, name, category, composition, colour, sizes and stock levels for each size, retail price and, if you are working on the fixed arrangement, the transfer price for each item as well.

• Photographs: at least 3–5 per style, with the long side from 2000 pixels, still-life shots and shots on a model separately, if you have them.

• Descriptions in Ukrainian and English. If you have no English, we will translate it ourselves, but we need the original text in Ukrainian.

• The brand's size chart in centimetres and fit recommendations.

• A vector logo, a short description of the brand and links to your site and social media.

• Your returns and warranty terms, if the brand has its own.

• Registration documents and the contact details, including a telephone number, of the person responsible.

If you do not have a ready-made catalogue, send what you have — we will help you put the structure together and tell you what is missing. Stock levels can be updated manually, by file or through the API.

HOW ORDERS, RETURNS AND PAYOUTS WORK

The order. We tell you about a new order straight away. You confirm availability, pack the parcel and hand it over to the carrier within the agreed time. The packaging is your own branded packaging or neutral packaging, as agreed.

The customer's payment. The customer pays on the marketplace. You do not need to take payment, invoice the customer or deal with international payments.

Returns. The customer has the right to withdraw from a product within 14 days. We arrange the return, the product comes back to your warehouse, and the amount for the returned order is deducted from the next payout. Returns for faulty goods we look at together: if the defect is a manufacturing one, the cost is borne by the brand.

Payouts. We transfer money to the brand's account on the agreed schedule together with a report: which orders are included in the payout, which returns have been taken into account and how the amount was calculated — the commission withheld under the first model, or the agreed transfer price for each item under the second.

We pass customers' personal data to you only to the extent necessary to dispatch the order, and you are not entitled to use it for mailings and advertising of your own. See the Privacy Policy for details.

FREQUENTLY ASKED QUESTIONS

Do I need a warehouse of my own? No. It is enough that the stock is physically with you and that you can pack an order and hand it over to the carrier.

Can I carry on selling on my own site and on other marketplaces? Yes. We ask only that you do not set a price with us that is higher than your own retail price.

Who pays for delivery to the customer? The delivery cost is calculated on the marketplace and paid by the customer, unless the contract provides otherwise.

Who is answerable to the customer? All communication with the customer is on us: questions, complaints, returns. The customer does not approach the brand directly.

Is there a fee for listing? No. We earn only when a product has been sold — we send no invoices for joining, for product pages or for advertising.

And if you sell a product at a discount, will I get less? With a fixed transfer price, no: you receive your amount in full and the discount comes out of our share. Under the commission model your revenue is calculated on the actual selling price, which is why we agree participation in promotions in advance.

What about seasonal sales? Taking part is voluntary, but we tell you the dates and terms in advance so that you can plan your discounts.
